Microsoft is updating dynamic distribution groups in Exchange Online to make group membership available immediately after creation or filter modification, eliminating delays that previously lasted up to two hours. For groups with 5,000 members or fewer, membership is now populated as part of the creation or modification operation itself, reducing administrative friction and ensuring distribution accuracy from the moment a group is configured or updated. For organizations managing large communication structures or time-sensitive distribution needs, this change removes a meaningful operational gap in group management reliability. The feature is currently in development and expected to begin rolling out in May 2026.

Outlook: 1-year and 2-year options for email sync window (Offline settings)
In the new Outlook for Windows, users can choose to save 1 year or 2 years of email on their device for offline access. This expands the existing offline settings and allows users to access more email when they are not connected to the internet. The new options are available under Settings > General > Offline > Days of email to save, giving users greater flexibility based on their storage and offline needs.”

Microsoft Purview: Insider Risk Management – Policy Recommendation Panel in IRM
Today, Insider Risk Management (IRM) provides policy-driven protection for data leaks, data theft, and risky AI usage. However, while policy-driven protections are powerful, customers may not always have clear visibility into where coverage can be optimized or expanded to address latent insider risk.
IRM now provides guidance on what protections are missing or which policy configurations deliver the most incremental value, providing customers with more comprehensive coverage to mitigate their most critical insider risk.
Microsoft Purview Insider Risk Management correlates various signals to identify potential malicious or inadvertent insider risks, such as IP theft, data leakage, and security violations. Insider Risk Management enables customers to create policies based on their own internal policies, governance, and organizational requirements. Built with privacy by design, users are pseudonymized by default, and role-based access controls and audit logs are in place to help ensure user-level privacy.

Microsoft Teams: AI-powered notes for in-person
meetings with Facilitator in Teams Rooms on Android
In addition to capturing real-time notes and meeting outcomes during scheduled or hybrid meetings, the Facilitator agent assists you with notes, decisions and actions for in-person meetings in Teams Rooms on Android. Simply invite Facilitator with one tap of the room console. Meeting notes appear on the front of room display or touch board, are available via meeting recap when shared, and deleted if no one selected. Rest assured no data remains in the room. Available with Teams Rooms Pro.

SharePoint: Power Automate trigger and action for forms in SharePoint
We are introducing new Power Automate integration capabilities for forms in SharePoint, enabling customers to create automated workflows based on responses collected using list forms, file upload forms, and document generation forms.
With this update, a new trigger and action are now available in Power Automate:
Trigger: When a form is submitted
This operation triggers a flow when a list form, document generation form, or file upload form is submitted. Customers can use this trigger to initiate automated workflows such as approvals, notifications, or routing based on form submission events.
Action: Get form metadata
This action retrieves the metadata of a form, which includes the form ID, title, link, form type, output format, and the form questions used to collect information. This enables Power Automate flows to dynamically read form schema before executing downstream automation logic.

We are introducing a new Power Automate action that enables automated document generation using document generation (DocGen) forms in SharePoint.
Generate document from form (Preview) allows customers to create documents from a template by mapping data inputs to predefined template fields.
Documents are generated as part of an automated flow and stored in SharePoint.
This capability supports scenarios such as creating contracts, invoices, letters, or reports using structured templates and form-driven inputs.
The action works by mapping input data to template fields and returns the generated document along with file metadata such as location and status.

Microsoft Teams: Private channels increased limits and transition to group compliance
We are updating private channels to use a shared mailbox, similar to shared channels, instead of messages being stored in each user’s mailbox. With this change, compliance policies set for the team’s Microsoft 365 group will apply to private channels messages going forward. In addition, teams will support more than 30 private channels, up to the 1000 total channel limit for the team. Private channel member limits will increase from 250 to 5000. You will also be able to schedule meetings in private channels.

Microsoft Teams: One-time email passcodes for external presenters in Teams events
One-time email passcodes provide an easy way for tenant administrators and event organizers to verify anonymous, external presenters invited to their events. Anonymous external presenters will be shown with a “Verified” tag once completing the process. Based on admin settings, the event organizer will also have a set of options available to them that applies to all external presenters, providing the ability to control who is admitted to the meeting or allowing uninvited users with the link to be admitted from the lobby.

This capability enforces Intune MAM policies—such as clipboard boundaries, watermarking, and protected downloads—within the Edge work profile, ensuring sensitive data remains governed by your tenant. When enabled, downloads initiated in Edge are redirected to OneDrive for Business instead of local storage, and leak controls for screenshots and DevTools activate when data protection settings are applied. This approach secures cross-tenant scenarios like contractors or mergers without requiring additional apps or disrupting the end user experience.

Purview DLP policies also support “URL contains text” as a condition and exception, providing finer control over unmanaged cloud app usage across the network and Edge for Business, along with configurable email notifications to alert end users when activities are blocked.
