Dynamics 365 Field Service: Support multiple warehouse assignments for field technicians
Field technicians often source parts from more than one warehouse. Limiting a technician to a single warehouse can make it harder to reflect how materials are actually sourced across field operations. With this capability, administrators can assign multiple warehouses to a Bookable Resource and designate a preferred/default warehouse for the applicable legal entity. When a technician records material consumption, the warehouse can be automatically populated based on the Work Order legal entity and the technician’s configured default warehouse for that legal entity, while still allowing the technician to select another applicable warehouse when needed. This reduces manual selection for technicians, helps ensure materials are recorded against the correct warehouse and legal entity, and gives organizations more flexibility to reflect how inventory is actually managed across field operations. This capability is supported in the Integrated deployment type with Project Operations, where Field Service works with Finance and Supply Chain Management through Dual-write.

Dynamics 365 Field Service: Enhanced visibility into work order financial performance
The new Work Order Cost Summary gives field teams a clearer view of how project-related work is performing by bringing estimated and actual costs, sales, and project task progress together in one place. Teams can quickly compare what was planned with what was actually delivered across products, services, and expenses. When the Work Order is associated with a Project Task, the summary also shows planned and completed task effort, allowing users to review financial performance and execution progress together. The summary recalculates automatically as the Work Order moves through key execution statuses, including Scheduled, In Progress, and Completed. Users can also select Refresh Totals at any time to recalculate the summary and review the latest Work Order and project values. By bringing Field Service execution data together with Project Operations financial and task information directly on the Work Order, teams can identify cost and execution variances earlier, make more informed decisions while work is in progress, and reduce the need to manually reconcile information across applications. This feature is available when the Field Service and Project Operations integration is enabled.

Dynamics 365 Field Service: Support multiple payers across Work Order lines
Field work does not always have a single payer. A customer may be responsible for the primary service while another party, such as a warranty provider, manufacturer, partner, or other eligible billing customer, is responsible for specific products or services performed during the same visit. This capability gives service teams more flexibility during execution by allowing the billing responsibility to be determined at the individual Work Order line level rather than just requiring every transaction on the Work Order to follow the same payer.

Microsoft Copilot (Microsoft 365): Federated Copilot Connectors will support write, update and delete actions
Federated Copilot connectors (MCP type) currently let Microsoft 365 Copilot read data from third-party services in real time. With this update, the connector tools that create, update, and delete content in those services are unblocked in Copilot Chat, so users can complete work without leaving Copilot. Copilot acts with the user’s own account and permissions at the third-party service, and every create, update, or delete action requires the user’s explicit confirmation before it runs. Admins can view each connector’s read and write/delete tools in the Microsoft 365 admin center and disable connectors that don’t meet their organization’s policies.

Dynamics 365 Field Service: Create and apply reusable maintenance plans to assets
Business value Organizations can define a consistent maintenance strategy once and use it across groups of similar assets instead of designing a separate plan for every asset. This reduces setup effort, limits configuration differences across locations and teams, and provides a repeatable way to bring growing asset populations under managed maintenance. Reusable templates also make maintenance standards easier to govern. Asset and service leaders can establish the expected maintenance program for an equipment type while allowing each asset to have the plan it needs for ongoing execution. Feature detail Create maintenance plan templates that describe the maintenance program for an asset model, manufacturer, product, SKU, or asset category. A template brings together the maintenance activities and scheduling rules that should apply to that type of equipment. Use a template to establish a maintenance plan for one or more eligible customer assets. The resulting asset maintenance plan provides the asset-specific context used to schedule activities, forecast maintenance, and generate future work. The template and assignment experience helps users identify the appropriate standard for an asset and consistently establish maintenance coverage without rebuilding the complete maintenance definition each time.

Dynamics 365 Field Service: Plan asset maintenance using time, actual usage, and service sequences
Business value Organizations can maintain assets according to how the equipment ages, how much it is actually used, and which service activities have already been completed. A flexible maintenance schedule helps avoid servicing lightly used equipment too often while reducing the risk that heavily used equipment operates beyond its required maintenance interval. Usage-based schedules connect maintenance directly to meter readings recorded for the individual asset. This allows work to be driven by actual operating hours, mileage, cycles, production counts, or another tracked measure rather than by an estimated calendar interval alone. Combining scheduling methods in one plan supports more consistent execution of manufacturer guidance, internal reliability standards, and contractual maintenance commitments. Feature detail Define maintenance activities against the actual usage of an asset by specifying recurring service intervals on its meter. For example, require an oil change after every 150 operating hours or an inspection after every configured number of miles, cycles, or units produced. As new readings are recorded, the asset’s accumulated usage determines when the next maintenance interval is reached. Define other activities using calendar recurrence or combine calendar and usage criteria in one rule. For combined criteria, the plan initiates maintenance when either the elapsed-time threshold or the actual-usage threshold occurs first. Create sequential maintenance programs in which different activities become due at different points in the maintenance cycle. For example, a plan can progress through inspections, minor services, major services, and overhauls rather than repeating the same activity at every interval. The maintenance plan continuously evaluates its configured intervals against the asset’s dates, recorded meter usage, and completed maintenance sequence to determine which activity is due next. When the applicable threshold is reached, the plan produces the maintenance requirement that drives downstream work-order generation. This gives planners one place to manage calendar-based, actual-usage-based, whichever-comes-first, and multi-step maintenance strategies.

Dynamics 365 Field Service: Forecast asset usage to predict maintenance due dates
Business value Usage-based maintenance aligns service with the work an asset has actually performed, but a current meter reading alone does not tell the organization when the next threshold will be reached. Forecasting the asset’s expected usage rate converts meter-based maintenance from a reactive trigger into a forward-looking planning signal. Maintenance and reliability teams can use the projected due date to plan labor, parts, capacity, and customer downtime before the threshold is reached. Because the estimate is derived from the individual asset’s recent operating history, it reflects real utilization more closely than a generic calendar assumption while remaining explainable and reviewable by planners. Feature detail Calculate a projected usage rate for each asset from the trailing 30-day mean of its historical meter-usage logs. This rate represents the asset’s recent pace of operation and drives all projected due dates for usage-based maintenance activities on that asset. For each usage-based maintenance requirement, use the calculated rate to translate the remaining usage before the next threshold into an estimated calendar due date. The configured meter threshold remains the maintenance requirement; the projected date provides the advance planning signal used by maintenance forecasts and lead-window work-order generation. Store the calculated usage rate and the date and time when it was last calculated. Exposing both values lets planners assess how fresh the estimate is and whether the available history is sufficient to rely on the projection. Apply outlier protection when calculating the trailing mean so isolated meter spikes, incorrect readings, or other anomalous input data do not disproportionately change the projected usage rate. Recalculate the rate as additional meter history becomes available so future maintenance predictions continue to reflect the asset’s recent usage.

Dynamics 365 Field Service: Forecast planned maintenance demand
Business value Maintenance demand often becomes visible to service operations only after work orders are created, leaving limited time to prepare capacity and materials. A forward-looking maintenance forecast gives organizations earlier visibility into expected work so they can anticipate labor, skills, parts, and scheduling demand across the asset population. This supports more proactive operational planning and helps teams identify periods of concentrated demand before they result in resource conflicts, parts shortages, or delayed maintenance. Feature detail Provide a forecast of maintenance events expected within a selected future planning horizon. Bring together events calculated from calendar schedules, actual meter usage, sequential maintenance plans, and projected usage based on meter history. Allow planners to understand when maintenance is expected and which assets, plans, and activities contribute to the forecast. Expected activity duration and other planning information from the maintenance definition can be used to represent the likely operational demand. The forecast provides visibility before work orders are generated. As schedules, meter readings, and usage predictions change, the expected maintenance demand can be refreshed to reflect the latest plan.

Dynamics 365 Field Service: Optimize asset maintenance schedules using completed service
Business value Asset maintenance is most effective when service intervals reflect how equipment is actually used and maintained. Static schedules that continue from an assumed date or meter value can cause an organization to service an asset more often than necessary after early maintenance or wait too long after late, partial, or usage-intensive service. Feeding completed maintenance activities, actual completion dates, and meter readings back into the maintenance plan recalibrates future requirements around the asset’s real operating and service history. This closed-loop approach helps organizations avoid both over-maintenance and under-maintenance, balancing asset reliability and availability with labor, parts, and service costs. Feature detail Completed maintenance is used as a planning input, not only recorded as service history. When maintenance work is completed, the system evaluates which planned maintenance activities were fulfilled and feeds the actual completion date and relevant meter readings back into the asset’s maintenance plan. The plan uses those results as the new basis for calculating the next applicable maintenance requirement. For calendar-based maintenance, the next event is recalculated from the completed service and the plan’s recurrence rules. For usage-based maintenance, the next threshold is calculated from the asset’s meter value when the activity was completed. For criteria that combine time and usage, the plan continues to evaluate both conditions from the updated maintenance baseline. Sequential plans advance according to the activities that were actually completed. The optimized plan then supplies updated due dates and activities to maintenance coverage views, demand forecasts, and future work-order generation. As additional maintenance is completed, the feedback loop keeps the schedule aligned with the asset’s evolving usage and service history.

Dynamics 365 Field Service: Review and visualize an asset’s maintenance schedules
Business value An asset can have several lines of service, each with its own maintenance schedule, recurrence pattern, and future events. When those schedules are reviewed separately, planners have difficulty understanding the asset’s complete maintenance plan and how the different service requirements will play out together. A consolidated list and visual timeline give maintenance teams one place to understand the asset’s planned service, investigate individual events, and identify schedules or timing that should be adjusted. This visibility supports faster, more informed planning without requiring teams to reconstruct the plan from separate records. Feature detail From an asset’s maintenance plan, view all maintenance schedules for that asset in one place. Review each line of service and the schedule that controls when its maintenance activities become due, including calendar-based, usage-based, combined time-and-usage, and sequential criteria. Visualize how those schedules are expected to play out over time. The visualization brings the projected maintenance events from the asset’s schedules into a chronological view so users can see how the different service lines relate to one another and when maintenance is expected. Users can select and investigate an individual maintenance event to understand the service activity, schedule, trigger, and expected timing behind it. They can then return to the relevant schedule when its criteria, recurrence, sequence, or timing needs to be changed.

Dynamics 365 Field Service: Onboard mid-lifecycle assets into maintenance plans
Business value Organizations often introduce maintenance management after equipment is already operating or acquire used assets with established age, usage, and service histories. Starting those assets at the beginning of a new maintenance plan produces irrelevant past activities and inaccurate future dates, while manually reconstructing every historical event requires significant effort. Mid-lifecycle onboarding allows existing assets to enter a standardized maintenance program at an appropriate point, helping organizations expand maintenance coverage without treating every asset as newly commissioned. Feature detail Apply a reusable maintenance plan template to an existing or used asset and initialize the resulting plan using the asset’s current lifecycle information. Relevant inputs can include commissioning or installation date, current meter usage, known maintenance history, and the appropriate position in a sequential maintenance program. Advance through earlier template activities that no longer apply so the asset begins with the next relevant maintenance requirement. Preserve the context used during initialization so planners can understand how the starting position was determined. After initialization, the asset participates in the same scheduling, forecasting, work-order generation, completion feedback, and coverage experiences as other assets using the maintenance plan.

Dynamics 365 Field Service: Expand your service offering through subcontractors without the onboarding overhead
Business value Subcontractors commonly communicate completion through an emailed service report or a message describing the work performed. Dispatchers then have to find the correct assignment, interpret the report, update the booking and work order, and copy important closeout details into Field Service. This manual process delays operational visibility, creates inconsistent service history, and can leave completed bookings or work orders open. Service teams can setup an agent to process subcontractor service reports to prepare a coordinated booking and work-order closeout. This supports faster reconciliation of external work and helps keep scheduling status, operational records, and service history consistent. Feature detail An agent in Dynamics 365 Field Service processes supported emails and service reports, identifies the applicable Field Service work order and active booking, and prepares a coordinated closeout proposal. The proposal can include supported booking and work-order status changes together with completion details extracted from the submission, such as the completion summary, work performed, notes, recommendations, requirements, requested follow-up, actual completion information, and supported labor-duration values. An internal dispatcher or service coordinator reviews the source submission and the proposed values, corrects or selects the supported changes as allowed, and applies them to Field Service. Coordinating the booking and work-order changes keeps scheduling records, operational status, and service history aligned. If the sender is not authorized, the work cannot be matched confidently, multiple bookings could apply, required information is missing, or the message contains no actionable closeout information, the submission is routed for human resolution rather than being silently applied. This feature closes out existing supported bookings and work orders. It does not create new follow-up work, process payroll or invoices, or automatically create parts and product-consumption records unless those capabilities are delivered separately.

Dynamics 365 Field Service: Close out bookings and work orders from subcontractor service reports
Using the subcontractor’s service report to prepare the complete closeout gives service teams a faster and more consistent way to reconcile external work. Booking state, work-order status, and the details of the completed visit can be reviewed together before the internal records are updated. Feature detail The Subcontractor Agent processes a supported email and service report, identifies the applicable Field Service work order and active booking, and prepares a coordinated closeout proposal. The proposal can include supported booking and work-order status changes together with completion details extracted from the submission, such as the completion summary, work performed, notes, recommendations, requirements, requested follow-up, actual completion information, and supported labor-duration values. An internal dispatcher or service coordinator reviews the source submission and the proposed values, corrects or selects the supported changes as allowed, and deliberately applies them to Field Service. Dynamics 365 Field Service: Process subcontractor photos, completion documents, and inspection results
Business value Subcontractors often document completed work through photos, service reports, inspection forms, certificates, and other files. When those documents remain only in a shared mailbox, service teams must manually download, interpret, organize, and reconnect them with the work they support. Important completion evidence and inspection findings can be difficult to find when a customer, dispatcher, auditor, or future technician needs them. Processing subcontractor completion documents as part of the closeout keeps evidence and supported findings connected to the Field Service work. This improves traceability, reduces document-handling effort, and preserves a more complete operational history. Feature detail The Subcontractor Agent processes supported attachments received with a subcontractor submission, including photos, PDFs, service reports, inspection documents, and other supported completion files. It associates those files with the relevant Field Service work so authorized users can find the evidence from the operational record rather than searching the mailbox. The agent can use supported document content when preparing the closeout proposal. For an inspection or task-completion document, this can include extracting supported inspection findings, outcomes, observations, deficiencies, or task results for the internal reviewer to validate and apply to the appropriate Field Service record. The review experience keeps the original document available alongside the proposed structured information so the dispatcher, service coordinator, or other authorized reviewer can compare the extraction with the source. Unsupported, unreadable, encrypted, oversized, or potentially unsafe files are surfaced for appropriate handling instead of being represented as successfully processed. Processing an invoice, parts list, or other financial or consumption document does not by itself create, match, approve, or post a financial transaction or product-consumption record unless that behavior is separately supported.
